Who we are

Smartplannr is run by Avksoft Ltd (“we”, “us”), a company registered in England and Wales with company number 11651209. We are the controller of your personal data under the UK GDPR and the Data Protection Act 2018: we decide how it is used and are responsible for it. Questions about this policy or your data: hello@smartplannr.com.

What we collect

  • Your account: your email address, your name, and your password, stored only in hashed form by our sign-in provider. If you sign in with Google, Google gives us your name, email address and profile picture.
  • Your workspaces and team: workspace names and settings, who belongs to each workspace and their role, the email addresses you invite, and the brand voice you describe for the AI writer.
  • What you create: posts and the version of each one for every network, schedules, the media you upload, campaigns, labels and templates, comments and approval decisions on posts, reports, and any files you give the AI writer to work from.
  • Connected social accounts: when you connect a network, the access tokens it issues (encrypted, and never sent to your browser), the account’s name, handle and picture, the permissions you granted, and the IDs of the posts we publish for you.
  • What the networks send back: the metrics a network reports for your accounts and posts, and the public comments and replies on your posts, including the public names and profile details of the people who wrote them, so you can answer them in the inbox.
  • Tracked link clicks: if you use tracked links, each click records when it happened, the site the visitor came from, and a one-way code that tells a repeat visit apart from a new one. We don’t record who the visitor is.
  • Billing: if you choose a paid plan, Stripe handles your card details; we never see or store your full card number. We keep your Stripe customer ID, plan, subscription status and billing dates.
  • Notifications: your notification choices and the notifications and emails we have sent you.
  • Technical data: the sign-in cookies, the standard logs our hosting providers keep (such as IP address and browser) to run and secure the service, and error reports. When something goes wrong in the app, Sentry records the error and, for a sample of sessions, a replay of the screen with all text and images masked.
  • How our website is used, only if you allow analytics cookies: the pages you visit on our website, how you found us (for example a search or a link), and your device, browser and approximate location, measured by Google Analytics. Google Analytics doesn’t store IP addresses, and we don’t send it your email, your content or anything you type. It doesn’t run inside the signed-in app.

How we use it

  • To run Smartplannr: publish your posts at the times you choose, and show your calendar, inbox, analytics and reports to you and your team.
  • To write AI drafts, rewrites and translations when you ask for them. We don’t use your content to train AI models.
  • To send the emails you rely on, such as failed posts, approvals waiting for you, invitations, connection problems, plan and payment updates and receipts. You choose which ones you get in your notification settings.
  • To bill you for a paid plan.
  • To keep the service secure, prevent abuse, find and fix errors, and meet legal and tax obligations.
  • If you allow analytics cookies, to see which pages of our website are visited and how people find Smartplannr, so we can improve it.

We don’t sell your data and don’t use it for advertising. Our legal bases are the contract with you (running the service), our legitimate interest (securing and improving it), your consent (optional cookies) and legal obligations (keeping billing and tax records).

Connected social networks

When you connect a network, we send it the content you schedule for that account and read back the data described above, only for the accounts you connect. Each network handles that data under its own terms and privacy policy: Meta (Facebook, Instagram and Threads), LinkedIn, X, TikTok and Google (YouTube).

Smartplannr uses YouTube API Services. By connecting a YouTube channel you agree to the YouTube Terms of Service, and the Google Privacy Policy applies. Smartplannr’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect an account in Smartplannr at any time, which deletes its access tokens and the analytics and inbox data synced from it. You can also revoke our access from the network itself: for Google at security.google.com/settings/security/permissions; for Facebook and Instagram under Settings & privacy → Settings → Business integrations on Facebook; for LinkedIn under Settings → Data privacy → Permitted services; and for Threads under Settings → Account → Website permissions. LinkedIn and Threads give apps no way to withdraw their own access, so for those two, disconnecting here does not remove it there.

Who we share it with

We use trusted providers for cloud hosting and storage, sign-in, speech-to-text, AI analysis, payments and email. They handle data on our behalf, only to provide Smartplannr, and are bound by data processing agreements. Some are based in, or store data in, the United States or the European Union. When data leaves the UK, we rely on UK adequacy regulations, or on the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. We don’t sell your data. If you want to know which providers handle your data, email hello@smartplannr.com.

How long we keep it

  • Your account and workspaces are kept until you ask us to delete them.
  • Posts, media and reports stay until you delete them, or until the workspace they belong to is deleted.
  • Disconnecting a social account deletes its access tokens and the data stored against it.
  • AI prompts and results are deleted after 90 days.
  • Notifications are deleted after 180 days.
  • Tracked link clicks are deleted after 400 days, so you can compare one year with the last.
  • Records of who changed what in a workspace are kept for two years, to settle disputes.
  • Invoices stay with Stripe for as long as tax law requires, even after you delete your account.
  • Error reports and replays are kept by Sentry for up to 90 days.
  • Analytics data, if you allowed it, is kept by Google Analytics for up to 14 months.

Cookies

We use essential cookies to keep you signed in, and one to remember your cookie choice. Some preferences, such as the workspace you last opened, are saved in your browser’s storage rather than in cookies. Analytics cookies are optional: Google Analytics sets them (named _ga, and _ga_ followed by an ID) only if you allow them when we first ask, or later in at the bottom of our website’s pages. They last about 13 months, and you can withdraw your consent there at any time. We don’t use advertising cookies.

Your rights

You can ask to see, correct, export or delete your data, object to how we use it, or withdraw consent at any time. Email hello@smartplannr.com and we will reply within one month. You can also export your posts, publishing history and analytics as CSV files from the app.

If you are unhappy with how we handle your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113. If you live in the EU, you can also complain to the data protection authority where you live.

Security

Data travels over encrypted connections. Social account tokens are encrypted at rest and only ever handled on our servers. Each workspace can reach only its own data, and each member sees only what their role and account access allow.

Children

Smartplannr is only for people aged 18 or over, and we don’t knowingly collect data from children. If you think a child has given us data, email hello@smartplannr.com and we will delete it.

Changes to this policy

If we change this policy in a way that matters, we will tell you by email or in the app before it takes effect. See also our Terms of service.
